Dynamic pricing is one of the few things that genuinely lifts revenue without more work. But it's not magic, and it doesn't help everyone equally. Here's what a tool like PriceLabs solves, what it doesn't, and how to know if it's your turn.
A dynamic pricing tool adjusts each night's rate based on demand, season, day of week and how far out the date is. It's worth it once you have several properties and irregular occupancy. It doesn't replace your judgment: you set the floor, the ceiling and the rules, and it moves the price within that. PriceLabs is the most widely used in the industry.
Most property managers set a high-season price and a low-season price, and leave it there. It works, but it leaves money on the table: the weeknights that go empty, the long weekend that could have cost more, the last-minute gap that a small discount would have filled. Dynamic pricing exists to capture exactly that.
What it does, concretely
A tool like PriceLabs looks at market signals and suggests (or applies) a different price for each night of the year. The usual variables:
- Area demand. If half of Guanacaste is raising prices for that week, you should too.
- Day of week and season. Friday and Saturday aren't worth the same as a Tuesday; December isn't worth the same as September.
- How far out the date is. A gap three days out fills with an adjustment; three months out, don't give it away.
- Events and holidays. A long weekend or a local event changes willingness to pay.
When it truly pays off
- You already have several properties. Adjusting one by hand is doable; adjusting ten, every day, isn't.
- Your occupancy is irregular. If you live with weeknight gaps or soft seasons, that's where dynamic pricing pays for itself fast.
- You compete in a crowded area. Where there are many similar homes, well-calibrated pricing is what makes you show up and book.
What it does NOT solve
Here's where it pays to be honest:
- It doesn't think for you. Set the floor too low and it will sell cheap, very efficiently. The judgment on floor, ceiling and strategy is still yours.
- It doesn't fix a bad listing. Weak photos or few reviews aren't offset by price; fix those first.
- It doesn't replace sync. A perfect price is useless if the calendar isn't current across every channel. Dynamic pricing sits on top of a tidy operation, not instead of one.
The most common mistake: turning dynamic pricing on and forgetting it. The tool needs a realistic floor and a periodic check. Without a floor, a soft day sells the home for less than it costs to clean it. With a floor and clear rules, it works for you on its own.
