How to avoid double bookings

Selling the same night twice is the property manager's nightmare: you have to cancel on someone, you lose money, your OTA ranking drops and you take a bad review. The good news is it almost always has a concrete cause — and an equally concrete fix.

Double bookings happen when two channels believe a date is free at the same time. The cause is almost always slow or manual syncing. The only real fix is for all your channels to read a single availability, updated instantly: when a booking comes in on one, the date closes on all of them before another guest can take it.

Every double booking has the same origin: at the moment one guest booked, another channel still showed that date as free. The question isn't "why did it happen to me", it's "how long was that date free in two places at once". That time is the window. Closing it is the whole job.

Why they happen

  • Manual blocks. A booking comes in on one channel and you have to go block the date on the others. Between handling something else and getting to it, minutes or hours pass — and in that gap another booking came in.
  • Slow syncing. Many calendar connections aren't instant: they update every few hours. That delay is exactly the window where the double booking happens.
  • Human error. You blocked the wrong date, or the wrong property when you manage several similar ones. It happens, and once is enough.
  • Direct booking outside the system. A guest messages you on WhatsApp, you close the deal, and you forget to block the date on the OTAs.

What isn't enough

These are the half-measures that give a false sense of safety:

  • Checking calendars every morning. A double booking can happen at 2 p.m.; by the time you check, it's already too late.
  • Trusting a sync that takes hours. It lowers the risk, it doesn't remove it. And the day two bookings land in that window, you'll have to cancel.
  • "Being careful." Care doesn't scale. With three properties it might hold; with fifteen, no discipline replaces automatic sync.
